Onboard New Clients in Minutes With CSV Import

For Coaches

Every coach I know has thought about switching apps at some point and then stopped dead at the same wall: the roster. You have got 40, 80, maybe 200 clients living in your current tool, and the idea of hand-typing every one of them into something new is enough to make you stay somewhere you have already outgrown. That is the real cost of a bad platform. Not the monthly fee, but the fact that leaving feels impossible.

I want to talk about that specific problem, because it is the one that keeps good coaches stuck. When you want to migrate clients to a new coaching app, the migration itself should take minutes, not a lost weekend. In Fittest, that is exactly the job CSV import does. You export your list from wherever it lives now, upload one file, and your whole roster lands in the dashboard ready to train.

Why the roster is the real barrier to switching

Nobody stays on software they dislike because they love the software. They stay because the exit is painful. I have felt it myself. You weigh up a better tool against the sheer graft of moving everyone across, and the graft wins by default. None of that is a real decision. It is just inertia.

The friction is almost always in the setup, not the training. Once clients are in and connected, coaching is coaching. But getting a hundred names, emails and details from one system into another, by hand, is where people quietly give up. So the question that actually matters when you are comparing platforms is rarely "what can it do once I am in?" The one that counts is "how hard is it to get my people in at all?"

That is why I rate CSV import as a headline feature, not a footnote. It is the thing that turns "I would love to switch but I can't face it" into an afternoon job.

How CSV import actually works

The flow is deliberately boring, which is the point. You take a spreadsheet of your clients (the export your current app already gives you, or a list you keep yourself) and you upload it to the Fittest dashboard. Fittest reads the rows and creates the client records for you in one pass. No typing them in one at a time, no re-entering the same details in five different screens.

Getting your list ready

Most coaching tools will export your client list to CSV, and if you keep your own spreadsheet you are already most of the way there. You want the basics: name and email as a minimum, so each client can be invited and can log in. Tidy the file once, upload it once, and you are done. A roster that would take a full day to key in by hand goes in during a coffee break.

From upload to a working roster

Once the file is in, your clients exist as real records in the dashboard. From there you can assign them to the right coach if you run a team, drop them into the right membership tier, and get them invited into the app. The heavy, repetitive part, the data entry that makes switching feel like punishment, is the bit CSV import removes entirely.

What happens after the import

Getting names into a database is only step one. The reason to move at all is what your clients experience next, and this is where the roster you just imported starts earning its keep.

Clients connect the wearables they already own

Fittest is software-only and hardware-agnostic, so there is nothing to buy and nothing to post out. Your clients connect the watch or band they already wear, whether that is an Apple Watch, Garmin, WHOOP, Polar, Myzone or most heart-rate belts, and their live heart rate, effort points and recovery data start flowing. No kit to distribute means the gap between "imported" and "actually training" is tiny.

Their coaching stack is ready on day one

Because everything sits in one platform, an imported client can immediately get an AI-built or hand-built programme, percentage-based work off their 1RM, meal plans and AI food logging, habit tracking, and 1:1 or group chat with video. You are not importing them into an empty shell and then bolting on three more subscriptions. It is all there, which is a big part of why running your whole business from one app is less painful than the usual stack of tools that never quite talk to each other.

Switching without losing what clients built

One worry I hear a lot: if I move my people, do they lose their history? It is a fair thing to protect, because progress people can see is progress they stay for.

Two things help here. First, clients who are coming from a Myzone background can bring their status with them. A member can import a Myzone rank from Profile, then Import your history, by uploading a screenshot, so they keep the standing they earned rather than starting from zero. Second, once they are in Fittest they start banking their own history straight away: 90-day personal bests, weekly summaries, workout comparisons and their climb up the ranking ladder from Initiate onward. The move stops feeling like a reset and starts feeling like an upgrade.

How Fittest helps

Pulling this together, this is what makes migrating your roster to Fittest a short job rather than a dreaded one.

  • CSV client onboarding. Upload one file and your whole client list becomes real records in the dashboard, with no manual entry and no re-typing the same details across screens.
  • Assign clients to coaches. If you run a team, imported clients drop straight to the right coach, so a multi-coach operation is sorted in the same pass.
  • Nothing to ship. Because members and clients connect their own wearables, there is no hardware to buy or post before anyone can train. Imported today, tracking today.
  • The full Pro stack from the off. AI programme building, 1RM percentage programming, an exercise video library you can add your own videos to, AI meal plans and food logging, macro tracking, habit tracking, and in-app chat with video, all included, so an imported client is a fully served client.
  • History that carries over. Myzone status can be imported by the client, and Fittest starts banking personal bests, weekly summaries and ranking progress from their first session.

There is more on the way too. The AI Assistant, a "second you" that runs check-ins, watches client data, messages clients and delivers programmes, is arriving this month, so the roster you import now is the roster it will help you look after at scale.

If you have been putting off a move because the migration felt like too much, that is exactly the wall CSV import is built to knock down. It is also why I think Fittest holds up well when coaches weigh it against the usual names: you can see how it compares in our look at the best Trainerize alternatives for online coaches. And once your people are in, keeping them on a plan they stick with is where the real business is. That is the same thinking behind adding recurring revenue to your PT business.

Switching should never mean re-typing your life's work. Bring your whole roster across in one upload and get back to coaching. Book a demo and I will walk you through moving your clients in minutes.
